Terms and Conditions for Nepal Trekking and Climbing
Welcome to Nepal Alsace Trek & Expedition. We provide trekking, peak climbing, mountain expeditions, cultural tours, and adventure travel services throughout Nepal. These terms and conditions explain the responsibilities, policies, and general guidelines that apply when booking a trekking or climbing package with our agency.
By confirming a trip with Nepal Alsace Trek & Expedition, clients agree to follow the terms outlined below. We encourage all travelers to read these conditions carefully before making a reservation. Our goal is to maintain transparent communication and help every guest prepare for a safe, enjoyable, and memorable Himalayan adventure.
Booking and Reservation Policy
Clients can make a booking by contacting Nepal Alsace Trek & Expedition through our official communication channels. To confirm a reservation, clients may be required to complete a booking form and pay an advance deposit according to the payment instructions provided by our agency.
The required deposit, payment deadlines, and remaining balance will be communicated before the booking is finalized. Some trips may require early confirmation because of limited accommodation, domestic flight availability, restricted-area permits, or peak climbing permits.
Clients must provide accurate personal information, including passport details and other documents required for travel arrangements. Any changes to the information provided should be communicated as soon as possible.
A booking is considered confirmed once the agency has acknowledged the reservation and the agreed deposit or payment requirements have been fulfilled.
Payment Terms
The total trip cost depends on the selected itinerary, group size, duration, accommodation standards, transportation, permits, guide services, and other requested arrangements.
Clients must pay the agreed amount according to the payment schedule provided by Nepal Alsace Trek & Expedition. Any outstanding balance must be settled by the specified deadline or before departure, as agreed during booking.
Additional expenses arising from itinerary changes, extra accommodation, additional transportation, personal purchases, or services outside the agreed package may be charged separately.
If government authorities, airlines, or service providers change their fees or charges after booking, the agency will explain any applicable additional costs. All payment conditions should be confirmed in writing before the trip begins.
Cancellation and Refund Policy
If a client needs to cancel a confirmed trip, they must inform Nepal Alsace Trek & Expedition in writing as early as possible.
Refund eligibility depends on the cancellation date, expenses already incurred, advance payments made to suppliers, permit fees, airline ticket conditions, and the specific cancellation terms communicated at booking.
Certain costs, such as issued permits, non-refundable flight tickets, hotel deposits, and climbing arrangements, may not be recoverable. Any cancellation charges and potential refunds will be calculated according to the agreed booking policy and applicable law.
If the agency must cancel a trip because of operational difficulties or other circumstances within its control, it will communicate the available options, which may include rescheduling or a refund for eligible unused services.
Travel insurance claims and recoverable expenses will be handled according to the relevant insurance policy and supplier conditions.
Travel Documents and Permits
Clients are responsible for carrying a valid passport, the appropriate Nepal visa, and any other required travel documents. Passports should meet the applicable validity requirements for entry into Nepal.
Trekking permits, national park permits, conservation area permits, restricted-area permits, and climbing permits will be arranged according to the services included in the confirmed package.
Permit requirements and fees can change under government regulations. Clients must provide the necessary documents and cooperate with the agency to complete official procedures.
Travelers must follow local laws, conservation rules, immigration requirements, and instructions issued by authorized officials.
Health, Fitness, and Altitude Safety
Trekking and peak climbing in Nepal can involve high altitude, long walking days, steep trails, cold temperatures, and unpredictable weather. Clients should assess their fitness and prepare appropriately before departure.
Travelers must inform the agency and their guide about relevant medical or mobility concerns that could affect their ability to participate safely. Clients are encouraged to consult a qualified healthcare professional before undertaking strenuous or high-altitude activities.
Acclimatization schedules must be respected, and guides may recommend rest, descent, medical evaluation, or itinerary changes if altitude-related illness or other safety concerns arise.
No summit, trekking destination, or particular travel time can be guaranteed. The guide or trip leader may modify the itinerary when necessary for safety.
Travel Insurance
All clients undertaking trekking or peak climbing should obtain suitable travel insurance before departure. Insurance should cover the activities planned, the maximum altitude of the trip, emergency medical treatment, and helicopter evacuation where applicable.
For peak climbing and remote-area trekking, clients should check that their policy explicitly covers the relevant activities and locations.
Clients are responsible for understanding their insurance coverage, exclusions, claim procedures, and emergency contact arrangements. Any evacuation or medical assistance will depend on weather, accessibility, service availability, and the relevant insurance arrangements.
Itinerary Changes and Unforeseen Circumstances
Mountain weather, landslides, snowfall, road closures, flight cancellations, political developments, natural disasters, and other unexpected events may affect travel plans.
Nepal Alsace Trek & Expedition will make reasonable efforts to provide the agreed services. However, changes may be necessary when circumstances beyond the agency’s reasonable control affect the original itinerary.
Where possible, the agency will discuss alternative arrangements with clients. Additional costs arising from extended stays, extra transportation, accommodation, or changes requested by clients may be payable separately.
The agency cannot guarantee that all flights, routes, passes, or climbing objectives will remain accessible throughout the trip.
Accommodation, Meals, and Transportation
Accommodation, meals, transportation, and other services will be provided according to the confirmed package description.
Facilities in remote mountain regions may be basic, and the availability of hot showers, internet access, electricity, private bathrooms, and particular food choices cannot always be guaranteed.
Domestic flights may be delayed or canceled because of weather or operational conditions. Clients should allow sufficient flexibility in their travel schedules, particularly when connecting with international flights.
Any services not listed in the confirmed inclusions will generally be the client’s responsibility unless otherwise agreed in writing.
Client Responsibilities and Code of Conduct
Clients are expected to follow the instructions of their guides, respect local customs and religious traditions, protect the natural environment, and behave respectfully toward local communities and other travelers.
Clients must not participate in activities that unnecessarily endanger themselves, other group members, guides, or support staff.
Personal expenses, alcoholic beverages, personal equipment, additional meals, tips, and other items not specifically included in the package remain the client’s responsibility.
Complaints and Dispute Resolution
If clients experience a problem during their trip, they should inform their guide or agency representative promptly so that a reasonable solution can be considered.
Nepal Alsace Trek & Expedition aims to address concerns fairly and communicate openly with clients. Any unresolved dispute should be handled through good-faith discussion and, where necessary, the applicable legal procedures in Nepal.
Acceptance of Terms and Conditions
By booking a trekking or peak climbing package with Nepal Alsace Trek & Expedition, clients acknowledge that they have read and accepted the applicable terms and conditions.
These terms should be read together with the specific itinerary, price quotation, inclusion and exclusion list, and written booking confirmation. Where a specific written agreement provides different terms, the applicable agreement and relevant law will govern.
